Position SummaryWe are seeking a highly organized, discreet, and proactive Administrative Assistant to support senior clergy and play a key role in the smooth daily operations of a large and growing synagogue. The ideal candidate is an excellent communicator with strong judgment, the ability to manage complex calendars, and a talent for coordinating information and interactions across a busy community setting.
Responsibilities- Provide high-level administrative support to senior clergy and leadership, including calendar management, meeting preparation, and handling sensitive communications.
- Coordinate logistics for meetings, committees, special events, and clergy lifecycle engagements.
- Serve as a liaison between clergy, staff, board members, and congregants to ensure efficient and timely communication.
- Draft, edit, and proofread correspondence and documents, often on behalf of clergy or senior staff.
- Track project deadlines and support cross-departmental collaboration.
- Maintain confidential records and files with accuracy and professionalism.
- Assist with event planning and lifecycle coordination as needed (e.g., Bar Mitzvah, weddings, funerals).
- Anticipate the needs of clergy and take initiative to support organizational priorities.
- Minimum of 5 years of experience in a high-level administrative, executive assistant, or operations support role.
- Exceptional written and verbal communication skills, with a warm and professional style.
- Superior organizational skills and attention to detail; able to manage multiple priorities.
- Proficiency with Microsoft Office, Zoom, and database/CRM systems.
- Demonstrated ability to handle confidential information with discretion.
- Experience in a nonprofit, synagogue, or faith-based environment strongly preferred.
- Familiarity with Jewish customs, holidays, or lifecycle events is a plus (not required).
- A positive, can-do attitude and strong teamwork mindset.

- High emotional intelligence and respectful communication.
- Ability to remain calm and grounded in a fast-paced environment.
