The Receptionist serves as the first point of contact for clients, visitors, and vendors, representing the firm’s professionalism and commitment to excellent service. This role ensures that all guests are welcomed warmly, inquiries are handled promptly, and all communication—whether in person, via phone, or electronically—is efficiently managed. The Receptionist plays a crucial part in maintaining the smooth flow of office operations by scheduling appointments, managing deliveries, validating parking, and providing essential support to the administrative and legal teams.
By maintaining an organized and welcoming front desk, the Receptionist contributes to a positive client experience and supports the firm’s overall operational efficiency.
- Welcome clients and visitors, ensuring a professional and welcoming experience.
- Answer, transfer, or handle all incoming phone calls promptly.
- Manage visitor check-ins, issue visitor badges, and ensure compliance with building security protocols.
- Validate client and visitor parking as needed.
- Coordinate and handle courier services, including scheduling pickups and deliveries.
- Ensure that the reception area, including furniture and décor, remains tidy, organized, and welcoming.
- Coordinate meeting room scheduling, set up IT equipment, and arrange food and beverages; clear and organize meeting rooms after events.
- Assist with setting up and supporting special events (occasional evenings).
- Perform additional administrative tasks as requested or assigned.
- Morning Setup:
Check each area for supply refresh if needed - Maintain Cleanliness:
After meetings, clean up each common area including conference rooms by removing materials, wiping down tables, and organizing the space for the next use. - Restock Supplies:
Regularly check coffee station, kitchen and conference room supplies and ensure that all materials are replenished, including water, tissue, notepads, pens, markers, and other necessary items for meetings. - Maintain calendar and ensure food orders are placed in timely manner for all attendees for meetings, conferences, etc.
- High school diploma, some college or business/vocational training preferred
- 5 years reception experience, preferably in a large law firm or other professional services organization
- Experience with an automated telephone console
- Proficiency in Microsoft Word and Outlook
- Good written and verbal communication skills
- Detail oriented and able to prioritize, multi-task, and work well under pressure
- Professional, polite, and positive client‑centric attitude
- Professional and polished business demeanor and appearance
- Notary preferred
- Ability to speak Spanish a plus
Must be able to remain stationary for long periods of time; will frequently use the phone to communicate with attorneys, staff and clients, may occasionally move within the office to straighten and make ready the conference rooms, use office machinery, or deliver packages.
Work Location- Full-time in Dallas office
- Monday through Friday 9:00AM-3:00PM
