The Executive Assistant to the Vice Chancellor (VC) Academic Affairs manages the Office of the VC Academic Affairs and serves as the initial point of contact for the VC Academic Affairs. Assumes responsibility without direct supervision, exercises initiative and sound judgment, and makes decisions within the scope of assigned authority. Organizes the office and creates an atmosphere that permits the VC Academic Affairs to devote the optimum time, attention and focus on activities that best benefit the College.
The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Completes a broad variety of administrative tasks for the VC Academic Affairs including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
- Plans, coordinates, and ensures the VC Academic Affairs' schedule is followed and respected; provides "gatekeeper" and "gateway" role, creating win‑win situations for direct access to the VC Academic Affairs' time and office
- Communicates directly, and on behalf of the VC Academic Affairs internally and externally on matters related to System Office initiatives
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the VC Academic Affairs, including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the VC Academic Affairs' office and internal constituents, demonstrating leadership to maintain credibility, trust, and support
- Works closely and effectively with the VC Academic Affairs to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Successfully completes critical aspects of deliverables with a hands‑on approach, including drafting letters, correspondence, and other tasks that facilitate the VC Academic Affairs
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows‑through on projects to successful completion, often with deadline pressures
- Monitors budget expenditures for the Office of Academic Affairs
- Responsible for other reasonably related duties as assigned
