The Administrative Assistant plays a key role in supporting the Telemetry & Thoracic Cardiovascular Unit by delivering complex administrative and secretarial services that keep daily operations running smoothly. This position requires strong organizational capability, attention to detail, and the ability to handle confidential information effectively. As an Administrative Assistant, you will assist leadership, staff, and visitors while ensuring that all administrative processes follow departmental expectations.

The ideal candidate brings strong administrative experience, excellent communication skills, and the ability to manage calendars, documents, and confidential information. Prefer­red qualifications include prior experience supporting clinical, academic, or healthcare departments, along with familiarity in drafting correspondence, formatting presentations, and coordinating travel or meetings.

The salary range for this position equates to approximately:
Minimum $19.71 – Midpoint $24.52 – Maximum $29.33 per hour.

The typical work schedule is Day/Evening (Monday – Friday 8am – 5pm).

Responsibilities Section 1:
Administrative Support
  • Perform routine administrative and secretarial duties.
  • Type abstracts and manuscripts according to specified grant formats.
  • Compose formal and informal correspondence.
  • Create and format presentations.
Section 2:
Scheduling & Coordination
  • Maintain calendars for physicians and supervisors.
  • Arrange conferences, including booking rooms, catering, and equipment.
  • Take, prepare, and distribute meeting minutes.
  • Coordinate travel arrangements and prepare expense reports.
Section 3:
Document & File Management
  • Maintain complex confidential patient and general office files.
  • Ensure timely submission of required reports and documents for manuscripts and grants by tracking stages and initiating response processes.
  • Monitor and balance company center budget activity, including account review, cost projections, status reporting, and identifying potential issues.
Section 4:
Human Resources & Departmental Operations
  • Coordinate HR activities including processing confidential paperwork, maintaining records, and tracking performance appraisals and job information.
  • Interpret institutional policies for employees.
  • Assist with writing position descriptions and collaborating with financial and HR teams to resolve job‑level or funding issues.
  • May coordinate faculty recruitment, training, or schedules for graduate students and visiting fellows.
Section 5:
Supervision & Oversight
  • Supervise work distribution and processing for clerical areas.
  • Compile reports requiring detailed data collection and analysis.
Education
  • Required:

    High School Diploma or Equivalent
  • Preferred:
    Bachelor’s Degree
