Office Administrator/ Coordinator
The Executive Assistant serves as the right hand to our SVP of Marketing and Senior Executives, providing administrative support and acting as a gatekeeper. Their primary roles include:
Essential Duties and Responsibilities- Calendar Management:
Scheduling and managing executive calendars to optimize time and prevent conflicts. This includes setting up meetings, sending reminders, and prioritizing appointments. - Communication:
Handling incoming and outgoing communications, such as emails, phone calls, and letters, and ensuring prompt responses. Drafting and editing correspondence as needed. - Meeting Coordination:
Organizing and coordinating meetings, including booking venues, preparing materials, and ensuring all logistical details are addressed. Taking minutes and distributing them post-meeting. - Travel Arrangements:
Planning and booking travel, including flights, accommodations, and transportation, while managing travel budgets and ensuring compliance with company policies. - Document Preparation:
Creating and editing documents, reports, presentations, and spreadsheets. Ensuring accuracy and professionalism in all materials. - Office Management:
Overseeing office operations, including ordering supplies, maintaining equipment, and liaising with vendors and service providers. - Expense Management:
Tracking and processing expenses and reimbursements. Preparing expense reports and ensuring timely payments. - Project Support:
Assisting with special projects, including research, data analysis, and project management. Collaborating with various teams to ensure project success. - Confidentiality:
Maintaining discretion and confidentiality with sensitive information and internal communications. - Relationship Management:
Building and maintaining professional relationships with internal and external stakeholders, representing the executive in a positive manner.

- High school diploma or equivalent required
- Requires a minimum of 3-5 years of relevant Executive Assistant or administrative support experience.
- Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint.
