As the company continues to scale globally, we are seeking an exceptional Executive Assistant to the CEO who can operate in a fast-moving, high-performance environment and serve as a key partner in managing the CEO’s day-to-day priorities.
Role OverviewThe Executive Assistant to the CEO will play a critical role in ensuring the CEO operates at maximum effectiveness.
This position requires a highly organized, proactive, and detail-oriented individual who can manage complex schedules, coordinate across teams, and anticipate the needs of the CEO in a fast-paced technology company.
You will work closely with senior leadership and gain exposure to strategic conversations and high-level decision making.
Key Responsibilities Executive Calendar Management- Manage and optimize the CEO’s calendar across internal meetings, external engagements, and travel.
- Prioritize meetings based on business impact and urgency.
- Coordinate across multiple stakeholders to ensure smooth scheduling.
- Act as a gatekeeper for the CEO’s inbox and communications.
- Draft and edit emails, messages, and internal communications on behalf of the CEO.
- Ensure timely follow-ups and responses to key stakeholders.
- Prepare meeting agendas and briefing materials.
- Capture key takeaways and action items from leadership meetings.
- Track follow-ups and ensure execution across teams.
- Coordinate domestic and international travel arrangements.
- Manage itineraries, logistics, and last-minute adjustments.
- Assist with special projects driven by the CEO’s office.
- Help track key company initiatives and leadership priorities.
- Coordinate across departments to ensure timely execution.
- Manage confidential information with the highest level of discretion.
- Ensure the CEO’s daily operations run smoothly and efficiently.
- 2-10 years experience post undergraduate
- Experience in technology companies, startups, consulting firms, or high-growth environments is strongly preferred.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities simultaneously.
- High attention to detail and accuracy.
- Proficiency in productivity tools (Google Workspace, Microsoft Office, scheduling tools).
- Highly proactive and resourceful.
- Strong sense of ownership and accountability.
- Ability to maintain strict confidentiality.
- Calm and composed under pressure.
- Strong interpersonal skills and professionalism.
- Work directly with the CEO of a rapidly scaling AI company.
