This Administrative Assistant will provide highly confidential and professional administrative support to senior leadership and operations teams. Directly supporting our VP GM, this person will interact with internal and external stakeholders to help our operations run smoothly and efficiently. This role requires initiative, discretion, and strong organizational skills while working with sensitive company information. The ideal candidate will be creative, proactive, adaptable, and capable of managing multiple priorities efficiently and professionally.
WhatYou'll Do:
- Provide executive-level administrative support, including managing emails, calls, and correspondence.
- Organize meetings, prepare agendas, and record meeting minutes.
- Assist with preparing reports, presentations, and key business documents.
- Track action items, follow up on deadlines, and maintain organized documentation.
- Coordinate travel arrangements, expense reports, and vendor communications.
- Serve as a liaison between departments, external partners, and corporate leadership.
- Manage office supplies, facility requests, and other administrative tasks as needed.
- Administer and track special projects as assigned by leadership.
- Prepare and format reports, presentations, and correspondence.
- Assist in preparing confidential documents, memos, and communications.
- Minimum 3 years of administrative experience directly supporting executive leadership.
- Minimum 5 years of work experience in a professional office environment.
- Advanced skills in Microsoft Office Suite, including professional PowerPoint presentation creation and utilizing Excel pivot tables.
- Prior experience with data entry, document formatting, and presentation design.
- High School Diploma or GED equivalent.
- Must be authorized to work in the U.S. without sponsorship.
- Associate's or Bachelor's degree with a focus in Business Administration or Human Resources.
- Software experience with Concur, Linked In, Zoom, Yello, AS400, Oracle Fusion, and/or Box.
- Experience with social media marketing campaigns utilizing platforms such as Canva or Adobe.
- Exceptional organizational, multitasking, and problem-solving skills.
- Possesses strong business acumen exemplified through previous experience and/or presentations.
- Previous experience handling confidential information with discretion, i.e. a background in Healthcare, Finance, or previous Executive Assistance experience.
