Job Summary

Direct Luxury Solutions & Cool-A-Zone is seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office. This individual will serve as the central point of coordination across departments, supporting leadership while driving efficiency, accountability, and operational excellence.

The ideal candidate is a strong communicator, natural problem-solver, and capable leader who thrives in a fast-paced environment.

Key Responsibilities
  • Oversee day-to-day office operations and workflow
  • Develop and implement office policies and procedures
  • Manage office supplies, vendors, and service contracts
  • Maintain organized filing systems (physical and digital)
  • Ensure a professional, efficient, and welcoming office environment
Leadership & Coordination
  • Supervise administrative staff (if applicable)
  • Act as liaison between leadership and staff
  • Coordinate meetings, schedules, and company events
  • Improve operational systems for greater efficiency
  • Identify process gaps and implement solutions
Financial & Administrative Support
  • Assist with budgeting, expense tracking, and reporting
  • Manage accounts payable/receivable coordination
  • Support payroll processing and benefits administration
  • Track invoices, contracts, and company documentation
  • Work closely with accounting or external finance partners
Human Resources Support
  • Assist with onboarding and offboarding processes
  • Maintain employee records and compliance documentation
  • Support recruiting efforts and interview coordination
  • Help foster a positive company culture and team engagement initiatives
Experience
  • At least 2 years of experience in a similar role or
  • Bachelor’s Degree in HR or related field
Skills
  • Microsoft Office Proficient
  • Quick Books Proficient
  • Payroll processing knowledge
  • Excellent communication skills
  • Self-motivated
  • Comfortable conducting an interview
  • Team player
  • Well organized
  • Computer savvy
