Bilingual Administrative Assistant (English/Portuguese)
We are seeking a reliable and detail‑oriented Bilingual Administrative Assistant (MUST be bilingual in English/Portuguese) to support executive leadership and provide day‑to‑day administrative support. This role is ideal for someone who is organized, professional, and comfortable managing a variety of office and scheduling tasks in a fast‑paced environment.
The position plays an important role in keeping the executive office running smoothly through coordination, communication, and general administrative support.
Key Responsibilities- Manage calendars, schedule meetings, and coordinate daily appointments for executive leadership
- Answer and route phone calls, emails, and general correspondence
- Assist with meeting coordination, including scheduling and basic preparation of materials
- Prepare and organize documents, reports, and general correspondence as needed
- Coordinate travel arrangements including flights, hotels, and transportation
- Maintain organized electronic and physical filing systems
- Assist with expense tracking and basic administrative reporting
- Serve as a point of contact between executive leadership and internal staff
- Support general office administration and special projects as assigned
- Ensure accurate handling of confidential and sensitive information
- 2-3 years of administrative, office support, or executive assistant experience preferred
- Bilingual in English and Portuguese (required)
- Strong communication skills in both written and verbal formats
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and shifting priorities
- Professional demeanor and strong work ethic
- Ability to work independently and as part of a team
