As we continue to grow, we are seeking a dependable, professional, and organized Front Desk / Office Coordinator to support our office operations and provide an exceptional first impression for customers and visitors.

Position Summary

The Front Desk / Office Coordinator will be responsible for managing incoming calls, greeting visitors, assisting with office administration, scheduling support, and maintaining organized office operations. This role requires excellent communication skills, professionalism, attention to detail, and the ability to multitask efficiently.

The ideal candidate will have experience working with multi-line phone systems such as Ring Central, along with strong computer and office administration skills.

Key Responsibilities

Front Desk & Customer Service

• Answer incoming calls professionally and courteously

• Route calls to the appropriate department or team member

• Greet visitors, customers, and vendors in a professional manner

• Provide a positive first impression of the company

• Assist customers with general questions and direct inquiries appropriately

• Maintain professionalism, empathy, and urgency with all customer interactions

Office Administration

• Maintain organized digital and physical files

• Assist with scheduling appointments and calendar coordination

• Support office staff with administrative tasks and reporting

• Process incoming and outgoing correspondence and emails

• Monitor and maintain office supplies and administrative needs

• Assist with data entry and maintaining accurate records

• Support management with various office coordination tasks

Communication & Technology

• Utilize phone systems such as Ring Central or similar platforms

• Manage company email communications professionally

• Maintain accurate information within company systems and databases

• Use Microsoft Word, Excel, and Outlook for daily office tasks

• Assist with basic document preparation and organization

Required Qualifications

• Strong customer service and communication skills

• Experience answering high-volume phones in a professional office environment

• Experience using phone systems such as Ring Central or similar platforms

• Strong Microsoft Office skills, including Word, Excel, and Outlook

• Strong written and verbal communication skills

• Excellent organizational skills and attention to detail

• Ability to multitask in a fast-paced office environment

• Professional phone presence and positive attitude

• Dependable, coachable, and team-oriented

Preferred Qualifications

• Previous front desk, receptionist, office coordinator, or administrative assistant experience

• Experience supporting multiple departments within an office environment

• Bilingual Spanish is a plus but not required
