Global financial services firm located in Houston's inner loop in search of an experienced Executive Assistant to provide support to a small team of executives, along with assisting the Marketing and Investor Relations team. This position provides good variety while also remaining a balanced, manageable, one-person job.

Responsibilities will include:
  • Provide high level executive support to four or more senior executives in the company - calendar management, expenses in various currencies (Concur), complex international and domestic travel arrangements (Corporate Traveler/Melon), as well as onsite support to global executives and clients visiting the Houston office.
  • Work with the Houston administrative team to ensure the company’s space (including décor, equipment, supplies) is maintained and serviced to the highest standard; draft and implement preventive maintenance schedules and confirm safety standards are followed throughout the office – including emergency preparedness.
  • Assist with the acquisition, distribution, and storage of company supplies and shared support services such as mailing, printing, and copying; security; cleaning and maintenance.
  • Work with the Office Manager to create and administer budgets for supplies, equipment, and contract services; process related invoices and identify opportunities for cost savings in assigned areas - recommending and implementing policy or process changes as needed.
  • Assist HR in arranging occasional staff outings including special occasion lunches, after work cocktails, holiday parties, etc.
  • Assist the Marketing team and Investor Relations on Roadshow and Marketing Offsite planning and logistics including travel arrangements, restaurant reservations, printing, and other requirements as needed.
  • Assist with CRM data entry or retrieval as needed.
Requirements:
  • 10+ years' executive support experience; financial services sector a plus.
  • Experience with calendaring, travel (domestic / international), and expense management.
  • Able to prioritize conflicting needs, working across different time zones.
  • MS Office 365 (Outlook, PowerPoint, Word, and Excel).
  • Concur expense management.
  • Responsive and organized, with exceptional notice of detail and efficient time management.

Fully in-office position M-F. Occasional overtime, but not the norm.
