We are looking for a detail-oriented, flexible, and energetic individual with a passion for construction service. The Facilities Administrative Assistant will work closely with the Construction & Facilities Team to support all retail stores and will report to the Facilities Director.
Responsibilities- Respond to and process work orders immediately to achieve rapid response times with retail locations, District Managers, and vendors.
- Prepare and distribute work order status reports, maintain readiness dashboards, and update documentation.
- Schedule and coordinate all maintenance needs, documenting communication within the facility's software.
- Maintain records, supplies, calendars, schedules, and files for compliance with administrative and legal requirements.
- Coordinate and follow up on HVAC, electrical, plumbing, lighting, flooring, ceiling, roofing, elevator, fire systems, signs, pest control, energy management, landscaping, and painting to ensure vendors meet standards.
- Assist the Facility Management Team with tactical planning and follow through on all work orders to ensure completion of each priority level.
- High School Diploma or higher.
- Computer-savvy with strong skills in Microsoft Office Suite and quick learning of new software.
- Strong written and verbal communication skills with high attention to detail, organization, and time management.
- Team player with a strong work ethic and initiative, able to provide long-term solutions to issues.
- Basic knowledge of HVAC systems and facility maintenance processes.
- $45,000 – $48,000 annual base salary.
