Permit Administrator

We are seeking a detail-oriented and proactive Permit Administrator to join our team and ensure seamless compliance with all relevant regulations. In this vital role, you will manage the permit application process and maintain accurate documentation to support the permit life cycle.

Responsibilities
  • Submit permits promptly and accurately, adhering to all customer and/or jurisdiction requirements.
  • Manage active projects simultaneously while maintaining detailed and organized documentation.
  • Meticulously track project progression adhering to client procedures and timelines throughout the submission process.
  • Track and follow-up on permit status according to customer and company procedures.
  • Maintain up-to-date records of submission requirements across jurisdictions, coordinating with management and/or internal teams when process updates are necessary.
  • Act as a liaison between GCP teams, customers, government agencies and other third parties to coordinate during the permitting process, from initial submittal through approval.
  • Monitor changes in regulations and keep internal teams informed.
  • Collaborate with local permitting expeditors to streamline approvals.
  • Review project scopes against jurisdictional ROW requirements prior to submission to reduce rejections.
  • Assist with easement verification and documentation when required for project approval.
  • Coordinate pre-construction requirements tied to permits (bonding, insurance, notifications, etc.).
  • Ensure permit packages include all required documentation (plans, exhibits, traffic control, etc.).
  • Work closely with internal teams to correct redlines and jurisdictional comments.
  • Submit and track permits through client-specific systems (e.g., jurisdictional online systems).
  • Build and maintain a centralized knowledge base of jurisdiction requirements.

General duties:

  • Develop and maintain relationships with customers.
  • Review, follow-up, and respond to inquiries promptly and with courtesy, whether internal and external.
  • Demonstrate flexibility with necessary changes to improve customer and company procedures.
  • Provide general administrative assistance to support business needs.
  • Additional tasks on a temporary or permanent basis, as assigned.
