Sr. Administrative Assistant opportunity in the Genitourinary Cancer Center. The ideal candidate must have a high school diploma or equivalent and at least five years of administrative/secretarial experience.
Prefer candidates with Microsoft Office (Teams, Word, PowerPoint, and Excel), Kronos, and prior experience as an Administrative Assistant. Concur and People Soft experience is a plus. Must be able to work well independently or with a team, task-oriented, and organized.

Shift: Monday-Friday, 8:00 AM - 5:00 PM (fully onsite for the first 6 months, before transitioning to a hybrid schedule)
KEY FUNCTIONS
HR File maintenance - employee files (paper and electronic)
Facilitate on-boarding of new hires/transfers: request badge access, iPhone, keys, door signage, etc. as applicable; create personnel file folder, add PD to PD Warehouse, update Outlook mail groups to add/delete; update in-service lists and credentialing.
Document Retention/Log Management;
Verify appropriate credentials and maintain both tracking logs and e-mail monthly reminders.
Comply with Joint Commission standards for personnel files. Conduct biennial file audits to include Education Center training/transcripts. Prepare and relocate documents to off-site storage per institutional record retention schedule, as needed.
Payroll - Primary Timekeeper
Track attendance points and provide biweekly reports to the unit leadership.
Concur Travel and Expense Support - all titles
Department Emergency planning assistance - update staff telephone list, maintain call-down tree. Mail pick-up and distribution.
Provide administrative support to the Leadership Team and Staff
Weekly staff meeting coordination. Schedule meetings and manage calendars as needed for the Leadership team. Order and confirm catering, if applicable. Send reminders, create agendas, prepare deliverables, take, transcribe, and distribute minutes (as needed and within one week of meeting). Manage audio/visual support, as needed.
Professional Recognition Day Coordination
Create flyers and other signage and e-mail communication and distribute
Manage Supply Par for GU Center
Procurement Card Holder
Staff Interviews coordination;
Create interview packets and provide them to interviewers at least two days prior to the interview date
In collaboration with the AD and respective NM, coordinate Meet and Greet meetings at the 30, 60, and 90-day mark for new hires.
EDUCATION
Required:
High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred associate's degree, three years of required experience and with preferred bachelor's degree, one year of required experience.

Associate or bachelor's degree
EXPERIENCE
Required:
Five years of administrative/secretarial experience.
Preferred:
Five years of administrative assistant experience in an oncology clinical/hospital setting. Kronos, Concur, People Soft, and Microsoft Office (Teams, Word, PowerPoint, and Excel) are a plus.
OTHER REQUIREMENTS:
Must pass pre-employment skills test as required and administered by Human Resources.
