Job SummaryThe campus Clerk provides essential front office and clerical support to ensure smooth daily operations on a secondary campus. This role manages visitor interactions, communication flow, document processing, and record keeping while supporting campus staff, students, and families. The Campus Clerk also assists with designated operational areas and cross trains to support campus needs as assigned by the principal.
Key Responsibilities and Duties Front Office Operations- Greet and direct visitors, staff, and students in a professional and welcoming manner (gate and front desk).
- Maintain accurate sign in/sign out logs for all personnel and visitors.
- Answer incoming calls, route callers to appropriate personnel, and take messages or transfer to voicemail when needed.
- Provide general information to callers and visitors, including directions, contact information, and campus resources.
- Receive, sort, and distribute incoming mail; assist with coordinating express mail services (Fed Ex, UPS, etc.).
- Support designated personnel with “mail hold” procedures during holiday breaks.
- Create and maintain call out/all call messages and announcements using approved systems.
- Monitor the cleanliness and organization of the front office, office restroom, and break room; report needs to designated personnel.
- Perform general clerical tasks including photocopying, faxing, filing, scanning, and emailing.
- Assist designated personnel with email blasts and social media updates as needed.
- Prepare meeting setups as assigned by the principal or designee.
- Prepare and type correspondence, reports, and other documents.
- Receive, classify, reconcile, consolidate, and summarize documents and information.
- Assist with data entry and document processing as assigned.
- Update campus handbooks, policy manuals, and other campus documents.
- Assist with receiving, storing, and issuing supplies and equipment.
- Cross train in assigned operational areas to support daily campus operations.
- Provide support in areas such as enrollment, registration, attendance, and safety tasks as assigned.
- Maintain accurate, complete, and compliant records as required by law, district policy, and administrative regulations (if applicable).
- Maintain confidentiality of student, staff, and campus information.
- Maintain and improve professional competence through ongoing training and development.
- Attend staff meetings and serve on staff committees as needed.
- Build and maintain positive, professional relationships with colleagues, students, families, and all stakeholders.
- Maintain a professional relationship with colleagues.
- Maintain regular attendance and punctuality.
- Perform other job related duties as assigned.
- High school diploma/GED required; college hours/associate’s degree preferred.
- Minimum 2 years experience in applicable area.
- Experience in a public school district or charter, education service center, institution of higher education, or other educational setting preferred.
- Experience working with a wide range of populations: personnel, students, parents, and other stakeholders.
Position Requirements
- Ability to adjust the eye to bring an object into focus; judge distance (close and distant); reach with arms extended and use hands to manipulate the keyboard, smart board and other conference room/classroom technology.
- Ability to lift/carry up to 25 pounds, including but not limited to: books, paper, presentation materials and office materials/supplies.
- This position requires frequent standing, walking, sitting, bending, kneeling and/or the ability to be mobile.
- This position may require prolonged or irregular hours.
- Maintain emotional control under stress.
- Ability to travel throughout the district and city as needed by means of personal/private or public transportation in compliance with the state’s department of motor vehicle and/or public transportation laws.
- Ability to communicate effectively in English both written and oral forms with all levels of management, both internal and external to the district.
