Aboutthe Position
This role supports a leading Genitourinary Cancer Center, ensuring smooth operations while contributing to meaningful patient care. Key responsibilities include advanced administrative support, payroll processing, onboarding, file maintenance, and leadership assistance. The schedule is Monday‑Friday, 8:00 AM – 5:00 PM. The position begins fully onsite for six months and then transitions to a hybrid schedule.

- Enjoy a consistent schedule while managing diverse responsibilities, from coordinating meetings and events to supporting leaders and improving departmental processes.
- HR file maintenance – employee files (paper and electronic).
- Facilitate onboarding of new hires/transfers: request badge access, iPhone, keys, door signage; create personnel file folder; add PD to PD Warehouse; update Outlook mail groups and in‑service lists; help with credentialing.
- Document retention/log management; verify appropriate credentials; maintain tracking logs and send email reminders.
- Comply with Joint Commission standards for personnel files; conduct biennial file audits; prepare and relocate documents to off‑site storage as required.
- Payroll – primary timekeeper: track attendance points and provide biweekly reports to unit leadership.
- Concur travel and expense support for all titles.
- Department emergency planning assistance: update staff telephone list, maintain call‑down tree, mail pick‑up and distribution.
- Provide administrative support to the leadership team and staff: weekly staff meeting coordination; schedule meetings and manage calendars; order catering; send reminders, create agendas, prepare deliverables, and transcribe minutes.
- Professional Recognition Day coordination – create flyers, signage, and email communications.
- Manage supply pull‑requests for the GU Center.
- Procurement card holder duties.
- Coordinate staff interviews, create interview packets, assist interviewers, and organize meet‑and‑greet meetings at 30, 60, and 90 days for new hires.
- Required:
High school diploma or equivalent. - Preferred:
Associate’s degree (three years of required experience) or bachelor’s degree (one year of required experience).
- Required:
Five years of administrative/secretarial experience. - Preferred:
Five years of administrative assistant experience in an oncology, clinical, or hospital setting; experience with Kronos, Concur, People Soft, and Microsoft Office (Teams, Word, PowerPoint, Excel).
- Must pass a pre‑employment skills test administered by Human Resources.
- Must be able to work independently or as part of a team, be task‑oriented, and organized.
