Accounting Administrative Assistant
We are seeking a dependable and detail-oriented Administrative Assistant to support the Accounting Department and help ensure smooth daily financial and office operations. The ideal candidate will be highly organized, proactive, and capable of handling multiple administrative and accounting support tasks with professionalism and accuracy. This role requires strong communication, organizational, and computer skills, along with the ability to maintain confidentiality in handling financial and personnel information.
Responsibilities:
- Provide administrative support to the Accounting Department including filing, data entry, scanning, and document preparation
- Assist with accounts payable and accounts receivable processes, invoice tracking, and expense documentation
- Maintain accurate financial and office records while ensuring confidentiality and compliance
- Answer and direct phone calls, greet visitors, and manage correspondence professionally
- Schedule meetings, manage calendars, and assist with travel arrangements as needed
- Support accounting staff with reports, spreadsheets, reconciliations, and presentations
- Maintain office supply inventory and ensure organized work spaces
- Assist with onboarding paperwork and employee record-keeping
- Perform other administrative and clerical duties as assigned
Qualifications:
- High school diploma or equivalent required
- 1–3 years of administrative, clerical, or accounting support experience preferred
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with accounting software or bookkeeping systems is a plus
- Strong organizational, multitasking, and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Professional demeanor and ability to work independently and as part of a team
- Bilingual in Spanish and English is a plus
