Primary

Purpose:

Responsible for maintaining student records at the campus level. Process student enrollment, transfers and withdrawals for the campus.

Qualifications and Skills Education/Certification
  • Bachelor's degree from an accredited college or university.
  • Valid Texas Teacher Certificate or Teaching Certificate from out of state appropriate for position preferred.
Special Knowledge/Skills
  • Ability to maintain accurate and auditable records.
  • Ability to use personal computer and software to develop or maintain spreadsheets and databases, and do word processing.
  • Proficient keyboarding and file maintenance skills.
  • Basic math skills.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to comprehend and interpret Texas high school graduation plans.
  • Familiarity with district, local, and state laws and regulations regarding storing, keeping, and maintaining student records and confidentiality.
Experience
  • Three (3) years clerical experience.
  • High School experience.
Major Duties and Responsibilities Records, Reports and Correspondence
  • Transcribing and coding data based on CO22 data table.
  • Coordinating with stakeholders to make decisions about student transcripts, grade-level placements, and credits.
  • Knowledge of rules and laws associated with grade requirements and matriculation.
  • Regularly updating transcripts.
  • Knowledge of SBISD grading guidelines.
  • Ability to develop and implement systems.
  • Prioritize indirect and direct tasks.
  • Adhere to professional timelines and deadlines set forth by the district and campus.
  • Use data mining to generate reports that monitor and inform systems and practices.
  • Maintain high quality customer service at all times.
  • Advocate for and assist parents with securing all student records.
  • Process records from out-of-district providers.
  • Maintain physical and computerized records including student cumulative folders, progress and failure reports, class rosters, schedule changes and grade books.
  • Process new student records, including requesting and interpreting transcripts and records from other schools, setting up cumulative folder and entering student data into appropriate databases.
  • Coordinate grading process, including verification and correction of grades, and printing and distribution of report cards.
  • Process and transmit requests for student information, including student transcripts for colleges and universities.
  • Prepare and distribute University Scholastic League (UIL) eligibility lists.
  • Calculate grade point averages, class rank and prepare honor rolls.
  • Process withdrawals, transfer of students and applicable records. Adhere to SBISD guidelines in responding to subpoenas for student records.
  • Assist campus administration and counselors with the preparation of reports and student data information.
  • Verify information for Veteran's Administration Office for students receiving social security.
  • Maintain confidentiality of information.
Program Management
  • Coordinate the ordering and distribution of all graduate materials, including caps and gowns and diplomas. Choreograph graduation exercises and prepare graduation program. Validate names for diplomas; order diplomas; order honor cords/medals; liaison for ordering student caps/gowns; provide information for programs, including ordering programs.
  • Serve as National Collegiate Athletic Association (NCAA) Eligibility Clearinghouse contact. Follow records management schedule as supplied by the Texas State Library and Archives Commission.
  • Be familiar with all websites that impact enrollment policies, including approved foreign exchange programs. Utilize websites both domestic and international to establish contact with secondary schools, Programs of Studies, grading policies, academic calendars, etc.
  • Maintain spreadsheet for teachers of transfer grades for new students.
  • Serve as Campus contact for all PEIMS data related to student information and course information.
