Description: Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs, or processes.

  • Plans and develops procedures for administering a large or complex department or program.
  • Manages fiscal activities, including procurement and budget analysis.
  • Provides guidance to subordinate staff and evaluates performance.
  • Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
  • Creates and reviews reports of expenditures and activities.
  • May administer grants and grant-related communications, scholarships, and other operations.
  • Develops, implements, and maintains appropriate policies and procedures.
  • May serve as property custodian for the department.
  • Performs other job‑related duties as assigned.
  • This position provides administrative and management support to undergraduate programs, outreach projects, executive education and training programs, and academic affairs at the Hobby School of Public Affairs.

    Responsibilities

    Administrative

    • Serves as the primary administrative support for the Office of Student Success on campus during business hours, ensuring smooth day‑to‑day operations.
    • Multitasks and adapts to changing circumstances and shifting priorities in a high‑profile environment.
    • Provides administrative support for special projects and initiatives as assigned and serves in other matters and capacities as delegated.
    • Delivers prompt and thorough responses to internal and external constituencies.
    • Coordinates administrative operations, including room reservations, vendor searches, voucher processing, tracking student scholarships and stipends, ordering supplies, seeking quotes, and placing catering orders.
    • Attends meetings and provides summaries.
    • Handles sensitive information with discretion and integrity.
    • Assists with special events, with availability to work evenings on occasion.

    Program Coordination

    • Supports multiple student, training, and outreach programs and projects led by three directors.
    • Develops and maintains positive relationships with University of Houston colleagues and students, as well as community partners in government offices, nonprofit organizations, and other universities.
    • Participates in recruitment, outreach events, and retention programs.
    • Compiles information for various student programs and activities for monthly reports, impact reporting, and other documentation.

    Academic Support

    • Provides support to the Academic Affairs department with academic programs and curriculum‑related activities.
    • Makes website content updates for student programs and academic affairs.
    • Assists in conducting orientation sessions for groups of new incoming students.

    Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical, or professional discipline; or basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job‑related 4‑year degree from a college or university or an equivalent in‑depth specialized training program that is directly related to the type of work being performed.

    Experience:

    Requires a minimum of one (1) year of directly job‑related experience. Certification/Licensing:
    None.
