Executive Administrative Assistant

Core Elements is a consulting firm that helps entrepreneurs bring structure, clarity, and execution to their businesses. We work in fast-paced, entrepreneurial environments and are looking for an Executive Administrative Assistant who is highly organized, detail-oriented, and comfortable supporting multiple priorities.

This role supports leadership and consulting teams with administrative, reporting, and basic bookkeeping tasks. The ideal candidate is dependable, self-motivated, and enjoys bringing order to busy, growing businesses.

Responsibilities:

  • Manage calendars, scheduling, and meeting coordination.
  • Prepare agendas, notes, follow-ups, and reminders.
  • Handle professional correspondence and document preparation.
  • Maintain organized digital files and records.
  • Assist with preparing client reports and documentation.
  • Track tasks, deadlines, and administrative follow-through.
  • Support invoicing, billing, and payment tracking.
  • Reconcile receipts, expenses, and basic financial records.
  • Maintain organized financial documentation.
  • Coordinate with external bookkeeping or accounting partners.
  • Provide administrative support across multiple consulting engagements.

Requirements:

  • Proven experience as an administrative or executive assistant.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills, with the ability to provide clear daily updates to executives on progress, priorities, and outstanding items.
  • Ability to work independently and manage multiple priorities.
  • Comfort working with numbers, spreadsheets, and financial records.
  • Professional demeanor and discretion.
  • Ability to work in a fast-paced, entrepreneurial environment.

Preferred Qualifications:

  • Experience in professional services or consulting.
  • Bookkeeping or accounting support experience.
  • Proficiency with Microsoft Excel or Google Sheets.
  • Experience using Quick Books, Notion, or similar tools.
