Executive Assistant & Project Specialist
Provides administrative support to the Senior Vice President of Corporate Human Resources and designated staff members and oversees office administration, inter‑department communication, and department budget. This position also supports projects across the Corporate HR department, ensuring projects move efficiently from conception through completion, identifying and clearing roadblocks, and facilitating project completion and documentation to ensure timely delivery of department deliverables.
ResponsibilitiesProvides administrative support to Senior Vice President, Corporate Human Resources and designated staff members. Participates in and provides day‑to‑day support to internal stakeholders to ensure department projects are delivered in a timely manner and are in alignment with the identified project scope. Coordinates telephone calls, visitors and incoming/outgoing correspondence; determines which interactions should be handled by department head or referred to another staff member or another department.
Maintains department meeting calendars and conference room calendar; makes travel arrangements and arranges meetings; assists in agenda preparation, gathers information and contacts participants. Coordinates routine personnel, payroll, expense account documentation, and purchasing/acquisition duties, including getting approvals in a timely manner. Compiles budget data and prepares for submission to Finance; tracks and manages department expenditures. Prepares and coordinates inter‑department communications, assembles and analyzes data for special projects, and prepares reports and presentations.
Serves as the single point of contact for facilities maintenance and functional issues for the department. Acts as back‑up to Corporate HR Operations group with entering data and maintaining employee information and records. Supports the execution of projects in collaboration with internal constituents by effectively defining and documenting project framework to align with identified business drivers, feasibility, costs and scope.
Works with other team members to foster effective and positive relationships to manage execution of project deliverables and meet defined business goals. Manages assigned projects to include implementation of project requirements, timelines and related success factors in collaboration with internal stakeholders. Provides guidance to project teams regarding structure of project plans and for maintaining the integrity of project management data records including structure, storage and retrieval.
Facilitates communication as appropriate to all project team members and communicates to internal stakeholders on status, progress and forecasted final targets of projects, including any schedule constraints, resource issues, project risks, roadblocks and scope changes.
High School Diploma or equivalent is required. Associate Degree in related field is preferred. Two to five years of related work experience is required. One to three years of project coordination experience is preferred. Travel:
Up to 5%.
