Our client is seeking a highly organized, polished, and proactive Executive Assistant to provide high-level administrative support to multiple attorneys and legal professionals. This role is ideal for someone who thrives in a fast-paced professional environment, excels at managing competing priorities, and has exceptional document formatting and word processing skills.
Responsibilities- Manage complex calendars and scheduling for multiple attorneys and legal staff.
- Coordinate meetings, conference calls, and client appointments.
- Serve as a primary point of contact for attorneys, clients, and internal teams.
- Manage incoming phone lines and correspondence professionally.
- Enter attorney billable time accurately into the firm's timekeeping system.
- Prepare expense reports and reimbursement documentation.
- Coordinate business travel, itineraries, and reservations.
- Maintain confidential files, records, and legal documentation.
- Create PowerPoint presentations and other executive materials as requested.
- Arrange courier services, overnight deliveries, and office logistics.
- Prepare, revise, edit, proofread, and format legal and business documents.
- Perform high-volume word processing with exceptional attention to detail.
- Coordinate document production, mailings, and electronic file management.
- Ensure all work is completed accurately and within established deadlines.
- Provide reception coverage as needed.
- Welcome clients and visitors while maintaining a polished, professional environment.
- Coordinate conference room scheduling and meeting setup.
- Receive deliveries and assist with general office operations.
- 5+ years of Executive Assistant experience supporting senior executives or attorneys
- Exceptional word processing and document formatting experience is required
- Prior experience in a legal or professional services environment is highly preferred
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Excellent written and verbal communication skills
- Highly organized with the ability to prioritize multiple deadlines in a fast-paced environment
- Strong attention to detail and commitment to accuracy
- Demonstrated professionalism, discretion, and ability to handle confidential information
- Stable work history with strong tenure in previous positions is required
- Self-directed, dependable, and a collaborative team player
