SummaryThe Administrative Assistant is responsible for high level administrative support and the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. The role ensures smooth communication, and coordination across the department.

- Manage the CPGO’s calendar, prioritizing urgent and important matters
- Schedule department meetings and prepare agendas, record and distribute minutes as requested
- Prepare complex travel arrangements and manage expense reports
- Draft correspondence, memos, and reports; edit and review communications
- Coordinate in-office and offsite events
- Assist other departments and work with interdepartmental teams as assigned
- Maintain organizational policies and procures
- Support special projects and interdepartmental initiatives
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written reports or summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Administers USPS, Fed Ex, and UPS shipments.
- Reviews and processes invoices.

Required Education and Experience
- A minimum of Associate's degree required.
- A minimum 3 years of experience in administrative role.
- Bachelor's degree in related field preferred.
- 5+ years of experience in administrative role
- Bi-lingual in English (business level) and Japanese (business level)
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently
