Administrative Assistant

The Administrative Assistant is responsible for overseeing the everyday operations of the corporate office front desk. As the Administrative Assistant, you will play a vital role in the company's customer service and office procedures. You will help with all corporate office administrative duties, including answering phones, scheduling, daily administrative tasks, mail, on‑site visitors, and customer service.

  • Retrieve messages from voice mail and forward them to appropriate personnel.
  • Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel is unavailable.
  • Answer questions about the organization and provide callers with addresses, directions, and other information.
  • Welcome on‑site visitors, determine the nature of the visit, and announce visitors to appropriate personnel.
  • Receiving, sorting, and shipping mail; accept UPS, Fed‑Ex, and issue packages.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Complete word processing, graphical, spreadsheet, and database assignments as requested.
  • Compile, format, edit, and revise reports and presentations.
  • Communicate and handle incoming and outgoing electronic communications.
  • Prioritize and manage multiple projects simultaneously and follow through on issues promptly.
  • Organize and maintain file systems.
  • Perform other clerical duties as assigned.
  • Travel requirement:
    This job does not require travel.
Education & Experience
  • High School Diploma or Equivalent.
  • Basic computer skills; ability to use on‑site software functions.
