The Project Administrative Assistant is responsible for providing administrative and document support to the project team, including proofreading and formatting documents, maintaining project files and databases, and coordinating meetings. Assists Corporate Services team, while serving as a point of contact for internal clients and supporting efficient project operations.
Responsibilities- Proofread and edit reports and general correspondence for accuracy of grammar and formatting.
- Maintain project documents, databases and spreadsheets.
- Manage meeting appointments and logistics.
- Manage vendor breakfasts and lunch and learn opportunities.
- Manage Project SharePoint and Teams sites and groups.
- Assist Corporate Services team in the planning and execution of company events.
- Maintain the electronic file structure.
- Arrange and participate in meetings and project team activities.
- Convert scanned images or Excel files into MS Word documents.
- Assist with document formatting and combine files for production purposes.
- Help acclimate new team members onto the project team.
- Be the first point of contact for in-house clients officing in the Arion building.
- Build rapport with all project team members and establish trust.
- Perform related duties, as needed.
- High School Diploma required.
- Bachelor’s degree preferred.
- 3 years of experience minimum.
- Possesses strong interpersonal skills.
- Excellent verbal and written communication skills.
- Advanced knowledge working with MS Office (Word, Excel, PowerPoint).
- Very comfortable working with current desktop applications and a cloud-based environment (i.e. Office 365, SharePoint, Microsoft Teams, etc.).
- Comfortable working with PDFs in Adobe Acrobat.
- Work is primarily conducted in an office environment but may require occasional travel to off-site locations.
- Ability to lift and carry up to ten (10) pounds.
- Ability to communicate effectively, including sufficient clarity of speech, hearing, or other communication capabilities.
- Ability to sit for extended periods of time.
- Sufficient visual acuity or other observational abilities to review documents, perform analysis, and conduct investigations.
- Sufficient manual dexterity to perform routine office tasks such as typing and using standard office equipment.
- Sufficient mobility to perform office duties and travel to off-site locations as needed.
