Job DescriptionPrimary
Purpose:
To assist in assuring effective and efficient management of the district’s federally‑funded programs.
Education/Certification:
- High school diploma or GED
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/
Skills:
- Strong organizational, communication, and interpersonal skills
- Self‑motivated and the ability to work independently without supervision
- Pleasant telephone personality and effective communications skills
- Computer literate preferred (Excel, Word)
- General secretarial skills
- Strong human relation skills
Experience:
- Minimum of three (3) years of experience working in public education preferred
- Knowledge of district budgeting and purchasing procedures preferred
Clerical Support
- Assist in maintaining accurate ledgers for district federal fund entitlements.
- Serve as liaison with administration building and campus personnel concerning purchasing procedures, accounting processes and compliance issues for federally funded activities.
- Assist and relieve supervisor of paperwork and impediments so that he/she may devote maximum attention to the central problem of educational administration.
Reception and Phones
- Place, receive, and screen incoming calls and greet visitors and vendors as needed.
- Respond to routine inquiries from the public and staff and refer appropriate inquiries or problems to appropriate person.
Policy, Reports, and Correspondence
- Compile pertinent data used to prepare various required state and local reports.
- Prepare purchase orders and payment authorizations as directed.
- Type check requisitions and budget amendments as needed.
- Compile, maintain, and file all reports, records, and other documents as required.
- Assist with completion of required federal applications and evaluation reports.
- Assist with completion and typing of district reports and communiques concerning federal entitlements.
Other
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties as assigned.

EvaluationPerformance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of Non‑Instructional Paraprofessional Personnel.

Posture: Standing, prolonged sitting, occasional kneeling/squatting, bending/stooping, pushing pulling, and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching; may also require climbing stairs and reaching over head
Lifting: Moderate lifting and carrying (up to 15 pounds);
May require occasional heavy lifting and carrying (15–45 pounds)
Environment: May work prolonged or irregular hours; frequent district wide travel; all campuses are temperature controlled with hard surface floors
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
