The Student Information Management System (SIMS) Clerk will assist campus personnel with student records and support teachers and administrators, ensuring accurate data management and compliance with federal, state, and local regulations. QualificationsRequired:
- High School Diploma from an accredited institution.
- Thorough knowledge of federal, state, and local laws and board policies pertaining to public education student information management systems, processes, and procedures.
Preferred:
- 60 credits or more of college coursework from an accredited institution.
- Five or more years of experience with public education student information management systems.
- Effective communication in written and oral forms with all organizational levels.
- Understanding of the Public Education Information Management System (PEIMS) and implementation of guidelines at the campus level.
- Management and handling of confidential information.
- Assessment and prioritization of multiple tasks, projects, and demands.
- Excellent organizational and presentation skills.
- Proficiency in Microsoft Excel and related computer software.
- Monitor and update all PEIMS data required for federal, state, and local reporting in a timely manner.
- Interface with campus staff regarding PEIMS and report accordingly.
- Correct and assist campus personnel with data compliance issues such as eSchoolPLUS, PEIMS, PID, PET, and Texas Records Exchange (TREx) for final review by an administrator.
- Meet weekly with the Registrar, Assistant Registrar, Attendance Clerk, and non‑instructional data quality team to ensure accurate PEIMS coding related to transcripts, enrollment, withdrawal, leavers, and attendance before administrator review.
- Meet weekly with Assistant Principals and Data Stewards to ensure accurate PEIMS coding related to discipline incidents.
- Meet every three weeks with the Registrar and data quality team to verify date entry for PEIMS accuracy regarding grades before administrator approval.
- Responsible for grade reporting, including grade entry, verification, student report cards, progress reports, and distribution of grades for administrator review.
- Assist liaison for Home Access Center, Teacher Access Center, and eSchoolPLUS Administration.
- Ensure accuracy of deadlines for data entry and collection as scheduled by the Data Management and Compliance Department.
- Ensure accurate data entry for state‑required tasks such as:
- No Show process
- Enrollment Verification counts
- 1st‑6th six‑weeks membership reconciliation
- Maintain Campus Audit Box
- Verify special populations and all snapshot data with campus personnel, district departments, and the PEIMS Compliance Analyst.
- Prepare PET discrepancies and TREx requests for all campuses for administrator review.
- Prepare documents communicating information to staff, parents, students, and district personnel regarding PEIMS‑related data.
- Ensure accuracy of data input for permanent records, enrollment/withdrawals, discipline, attendance, master schedules, and summer school information for administrator review.
- Assist with creating an effective office protocol for data efficiency.
- Maintain smooth data transfer to and from other district campuses.
- Maintain confidentiality of information.
- Provide an organized working environment that secures data and prevents public viewing.
- Remain updated on local, state, and federal policies regarding PEIMS.
- Attend training sessions provided by campus and district personnel.
- Pass the Spring Independent School District’s Certification SIMS Course within the first six months of employment.
- Perform all other duties as assigned.
The job requires prolonged periods of sitting, moderate standing, stooping, bending, reaching, and repetitive hand motions; prolonged computer use; occasional lifting of up to 10 pounds; and the ability to maintain emotional control under stress.
