Registrar & PEIMS Coordinator (Secondary-Middle and High)
The Registrar & PEIMS Coordinator is responsible for the daily campus registration, enrollment, and attendance of all students, maintaining accurate student records, and coordinating the collection, compliance, and reporting of the district’s PEIMS (Public Education Information Management System) data. These records include intent to return, enrollment, attendance, immunization, grades, transfer information, and records requests. This position works closely with special education, academic counseling, campus compliance, and district administration to ensure accurate state and federal reporting and funding.
Key Responsibilities Registrar- Manage the registration and enrollment process for new and existing students.
- Input and maintain accurate student data, school records, and cumulative folders.
- Maintain confidentiality surrounding student records and information.
- Assist students and parents with questions regarding registration and enrollment.
- Enter and maintain accurate graduation information, including diplomas, transcripts, and GPAs for graduates.
- Collaborate with appropriate departments to ensure accuracy and adherence to regulations for admissions, registration, withdrawal, dropout recovery, guardianship, special education, and transfers.
- Assist the academic counselor with master schedules as needed.
- Assist the academic counselor with compiling, maintaining, and distributing accurate GPAs and senior ranks.
- Complete PEIMS submissions related to student records maintenance for attendance, class scheduling, grade reporting, transcripts, demographic data, school calendars, and other data linked to automated student records.
- Ensure compliance with established plans, policies, and procedures as related to PEIMS.
- Plan, execute, and manage a continuing training and information dissemination program to enable administrators and teachers to effectively carry out organizational procedures related to student records and PEIMS reporting.
- Ensure that timelines and schedules are met so that data is reported in accordance with state and federal deadlines.
- Implement data quality improvement strategies, working within cross‑functional teams including technical and business professionals.
- Support staff with data management.
- Submit PEIMS data in TEA’s prescribed format to the Education Service Center (ESC) for processing.
- Compile, maintain, and file all reports, records, and other documents required for PEIMS submissions and/or audits.
- Implement policies established by state law, State Board of Education, or the PVA’s board in areas of information technology and management related to PEIMS.
- Run and edit reports, and provide verification checks on data to ensure accuracy of campus and district information.
- Distribute edits and reports to appropriate staff for analysis, verification, and correction.
- Comply with all standards for Texas and federal attendance accounting laws and procedures outlined in the Texas Student Attendance Accounting Handbook.
- Attend ESC’s scheduled training sessions related to assigned areas, including but not limited to PEIMS reporting, Student Attendance Accounting, Registrations & Enrollment, and Student Data Management.
- Maintain and improve professional competence.
- Participate in district staff development as needed.
- Attend staff meetings and serve on staff committees as needed.
- Maintain a professional relationship with colleagues.
- Establish and maintain open lines of communication with students, parents, and community members.
- Maintain regular attendance.
- Perform other job‑related duties as assigned.
- Minimum of a bachelor’s degree from an accredited college or university.
- Minimum of 2 years experience as a registrar, admissions counselor, and/or PEIMS coordinator.
- Preferred experience in a public school district, charter, education service center, institution of higher education, or other educational setting.
- Experience working with a wide range of populations: personnel, students, parents, and other stakeholders.
