We are seeking an organized, dependable, and detail-oriented Administrative Coordinator to help support the daily operations of our growing organization.

Position SummaryThe Administrative Coordinator is responsible for supporting the day-to-day administrative and operational needs of the organization. This position works closely with leadership to coordinate office operations, maintain organizational records, assist with events, process payments and invoices, communicate with vendors, and provide administrative support for fundraising and community initiatives.
Responsibilities- Provide administrative support to the leadership team
- Manage calendars, meetings, and meeting minutes
- Answer phones, emails, and general inquiries
- Maintain organized digital and physical filing systems
- Process invoices and assist with payment processing
- Track vendor contracts and maintain vendor relationships
- Assist with grant research, applications, and reporting
- Maintain grant and project deadlines
- Coordinate fundraising and community events
- Schedule volunteers and assist with event logistics
- Assist with donor and CRM database maintenance
- Create flyers, newsletters, and promotional materials
- Schedule and manage social media content
- Assist with email marketing campaigns
- Maintain organizational policies and administrative procedures
- Perform other administrative duties as assigned
Required
- High school diploma or GED
- Administrative, office management, or nonprofit experience
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities with minimal supervision
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Professional and dependable work ethic
- Ability to maintain confidentiality
Preferred
Experience with any of the following is a plus:
- Grant writing or grant administration
- Event planning and coordination
- CRM software (Salesforce, Bloomerang, Donor Perfect, or similar)
- Canva or Adobe Creative Suite
- Constant Contact or Mailchimp
- Social media management
- Bilingual (English/Spanish)
