POSITION OVERVIEW As a member of the (Facilities/IT Services Team) you will join an incredibly talented and hardworking (support) department dedicated to (providing comprehensive services to over 60 facilities) to advance Baker Ripley's impact in the Houston region. The Facilities Management Department is committed to providing a quality and safe environment for our customers, employees and visitors and demonstrating stewardship of the physical assets of the Agency.

As one of the key points of contact for the Facilities team, the position supports interactions within the office team that sets the tone for a positive effective encounter for our clients and the facilities team. This supports our core values by being responsive to the agency needs and requests in an upbeat energetic, engaging, manner.

The Facilities Service Coordinator position requires a competence in the quality of tasks performed; requires excellent judgment and planning with the ability to make wise choices, anticipate needs, take initiative, offer assistance to others and act in a manner that resolves issues, consistent with corporate policy. This is a full-time in-office position.

EXPECTED POSITIVE OUTCOMESAfter employees 90 days, employee will need to have a full understanding and managing and maintaining the work-order system and facilities dispatch services for agency

Produce reports for Director and Sr. Director. (From work order System, excel spread sheets, etc.)Learn Baker Ripley history and learn how agency Departments work together to support agency mission.

JOB FUNCTIONS Provide crucial and timely support to ensure the highest level of operational functions of Facility Department Complete daily administrative tasks to the Facilities Team including phone administration, calendar management, and project file management

Manage vehicle and fleet data collection, reconciliation of purchase, credit card management, and data entry.

Direct trouble-shooting response to utility providers for facility utilities service loss including maintain outage/restoration communication to the proper personnel and facilities, and ensure billings adjustment

Represents the facility department for agency special event planning meetings

Manage department and agency-shared PPE inventory

Handle customers inquiries and problems

Dispatch Work Order Tickets to Technicians Provide follow up information to Technicians and Clients Troubleshoot product issues and customer concerns

Document and update customer records and work order tickets

Develop and maintain good communication relationships with Management, Technicians and Clients Confer with customers or supervising personnel in order to address questions, problems, pertaining to work order request

Learn the front desk to act in a backup role and support administrativelyEDUCATIONHigh School Diploma requiredEXPERIENCE1-3 years Administrative Office experience1-3 years Dispatch/Work Order Experience Previous experience in customer service or another related field KNOWLEDGE, SKILLS, AND ABILITIESMultitasking skills who can meet deadlines, work under pressure, organize and prioritize time, and maintain confidentiality in regard to all company operations

Excellent interpersonal skills: must project confidence and competence, communication, and interaction

Operation knowledge various office equipment (iPhone, iPad, Copier, scanner, laptop, desktop, among other equipment)
Detail and process oriented

Problem Solver/Solution Seeker: takes initiative towards creating & improving existing processes

Positive and professional demeanorLANGUAGESBilingual preferred with an excellent command of English and Spanish (written and verbal)
LICENSES/CERTIFICATIONS Certified HVAC Technician, preferred

Licensed Plumber, preferred
