The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a Administrative Support Services Supervisor,to join our team. The Administrative Support Services Supervisor supervises the daily operation of Forensic Services in the HCSO Jail to include: performing a variety of complex administrative and clerical duties, monitoring office space, equipment and supplies, vendor management and other support services.

The Administrative Support Services Supervisor establishes work procedures and standards to improve efficiency and effectiveness of assigned operations; compiles, prepares and maintains appropriate reports and minutes for all the services and meetings provided. In addition, the Administrative Support Services Supervisor helps manage team assignments, handle confidential material, and meet established deadlines for the Forensic Services in the HCSO in a time-sensitive environment.

Serves as the Harris Center liaison to HCSO Facilities, HCSO Housekeeping, HCSO Security, HCSO IT, Harris Center IT and other support departments and contracted vendors. Manages the preparation, performance, follow up, and reporting processes for these activities. Ensures compliance with established corporate standards and may be responsible for reviewing and evaluating the work and performance of subordinates. Purchases and maintains all disaster related supplies.

Provides support services to Clinical Managers and Directors.

Your role in action:
  • Serves as liaison between HCSO and contracted services.
  • Creates & submit work orders/requests to HCSO Facilities and other contracted vendors.
  • Responsible for receiving/delivery of packages, equipment and completes requests for delivery or disposing of furniture/file cabinets/etc.
  • Supervises Administrative Services division staff and its operations.
  • Serves as Liaison for on-site IT assistance. Assists IT tech by troubleshooting and resolving computer equipment and network issues.
  • Replaces/moves/installs equipment as needed. Reports any unresolvable IT issues/problems which staff are experiencing to appropriate IT department.
  • Requests HCSO/JWEB staff accounts and account updates for HARRIS Center and HCSO IT accounts.
  • Assists with delivery of parking cards and keys to staff.
  • Schedules appointments and organizes meetings with external and internal individuals on behalf of the Sr. Director of Adult Forensic Services as well as handling calendar.
  • Assures that meeting rooms are prepared before the meeting and returned afterward. Arrange any ancillary equipment and/or other resources necessary for the conduct of the meeting.
  • Assists new employees by obtaining jail clearances, fingerprinting and orienting them to the jail as needed.
  • May prepare and process internal forms in accordance with departmental procedures.
  • Provides administrative support for special projects in accordance with departmental/organization procedures.
  • Maintains professional behavior and provides excellent customer service to both staff and consumers.
  • Maintains unit employee records/files/documents.
  • Acts as back-up assistant to Medical Director when needed.
  • Acts as back-up fixed asset designee for the unit.
  • Acts as back-up for ordering supplies.
  • Safety officer for the Adult Forensic unit; conducts yearly armed intruder, fire and natural disaster trainings.
What qualifications you will need:

Education:
  • High School Diploma or G.E.D required.
Experience:
  • Minimum five (5) years general clerical experience required.
Other Requirements
  • Must have valid Texas Driver's License and be insurable under agency policy
Required Knowledge, Skills & Abilities:
  • Must be able to demonstrate basic computer skills including data entry, word processing, excel spreadsheets and other agency required competencies.
  • Knowledge of computer systems and computer networks
  • Proficiency in established record keeping and filing Ability to work independently.
