The Information Governance Specialist II is an integral part of Latham’s Information Governance team. This role will be responsible for supporting all basic activities associated with the day-to-day operations of the Information Governance Operations team, while responding to requests (basic and complex) for files and information from attorneys and staff, researching, locating and retrieving appropriate files using all search tools available, including manual and electronic resources.

This role will be located in our Houston office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence. Please note that this role will require in-office presence Monday through Friday for the first 6 months, and will then be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Other key responsibilities include:

  • Preparing new files both physically and within the records management system; providing correct data entry and identification for new records; checking out files to appropriate persons; tracking the location of files in the records management system; performing files location audits when directed; detecting and correcting discrepancies between index entries and physical documents.
  • Proactively reviewing records management system content and is able to recognize errors and correct them; demonstrating a high level of proficiency in records management system functions and department procedures and serves as a resource for other staff
  • Coordinating and/or performing some or all box archiving and offsite storage procedures; handling incoming and outgoing files; maintaining consistency of data between the vendor and firm databases; processing vendor invoices
  • Organizing and classifying large document collections in the central filing area and case rooms; communicating with attorneys and paralegals when cases are dormant or closed to expedite destruction or transfer to offsite-storage
  • Assisting with basic reviews and administrative tasks related to file releases, data access requests, and destructions
  • Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that Latham & Watkins retains

We’d love to hear from you if you:

  • Possess knowledge of information governance, data security and privacy principles, best practices, and procedures, with the ability to consistently follow procedures and display attention to detail in all work activities
  • Demonstrate thorough knowledge of the physical and electronic resources of the department and firm; with the ability to understand and articulate the role of effective space management in the overall administration of the office
  • Display well-developed interpersonal skills, with the ability to effectively interact with attorneys, management, support staff, and outside contacts (including clients)

And have:

  • A bachelor’s degree or equivalent; three (3) years of relevant Information Governance or Records experience may be considered in lieu of a degree
  • A minimum of three (3) years of experience in Information Governance or Records experience, preferably in a law firm Information Governance or Records Department
  • Experience in other law firm, archival or library research positions having significant document organizational responsibilities may be considered in lieu of directly related Information Governance or Records experience
