Administrative Manager

The Administrative Manager serves as the principle administrative manager and point of contact for the Division Head of the University of Texas Police at Houston (UTP-H) division. Provides high-level operational and executive level support for the Office of the Chief of Police.

The ideal candidate is a proactive, detail-oriented administrative professional with experience supporting director-level or higher leaders. Must be confident in decision-making, skilled at managing competing projects, and able to work independently with minimal direction. With high proficiency in Microsoft Office Suite, they excel in calendar and travel management, tracking initiatives, and sharing technical knowledge with direct reports.

Coordination of Divisional Initiatives:
Performs critical functions in support of assigned Divisional strategic initiatives through structured coordination, data gathering and interpretation, and synthesizing of information. Monitors, tracks, and coordinates assigned initiatives, ensuring alignment with initiative goals and planned deliverables/commitments; this includes timely and accurate tracking of initiatives, preparing background materials, monitoring deadlines, coordinating with internal stakeholders for input, and ensuring seamless communication between institutional teams, initiative stakeholders, and external organizations.

Through thoughtful, strategic, and innovative thinking, ensures operational continuity and alignment of all assigned projects.

Travel Management:
Reviews calendars for accuracy to coordinate travel arrangements for the Chief of Police and other assigned executives as necessary; arranges airfare, ground transportation, confirms reservations, requests agendas, prepares itineraries, makes hotel accommodations, and communicates and retrieves details. Calculates expenses, prepares expense reports/reimbursement requests of assigned personnel. Serves as liaison with external parties and organizations in preparation of UTP-H Executive's attendance and participation at various meetings and symposiums.

Maintain key event tracking document detailing upcoming obligations and status of travel arrangements of the UTP-H executive team.

Operational Support & Leadership:
Utilizes computer software to include Outlook, Word, Excel, PowerPoint, and data visualization tools to support the goals, projects, and initiatives of the Office of the Chief of Police. Models strong organizational skills, decision making capability, and managing competing priorities, while working independently. Provides supervision, leadership, and direction to assigned staff to effectively support divisional initiatives and the priorities of UTP-H executives.

As a subject matter expert in administrative processes, collaborates with management to streamline processes, evaluate workflows, and identify opportunities for efficiencies. Makes recommendations to leadership and oversees the implementation of administrative processes.
