Job Overview

The Administrative Assistant provides administrative and operational support to the Safety Department. This position is responsible for coordinating safety documentation, maintaining departmental records, assisting with training administration, supporting incident reporting processes, and ensuring the timely completion of various compliance and administrative activities across the organization.

Responsibilities
  • Provide administrative support to the Safety Department leadership team.
  • Maintain and organize safety records, reports, training documentation, and compliance files.
  • Assist with the preparation, tracking, and distribution of incident reports, corrective actions, and safety communications.
  • Coordinate and track employee training records and certifications.
  • Schedule meetings, training sessions, and departmental events.
  • Prepare reports, presentations, spreadsheets, and other departmental documents.
  • Manage departmental correspondence and respond to routine inquiries.
  • Track and monitor safety metrics and data within company systems.
  • Assist with onboarding and safety orientation documentation for new employees.
  • Support regulatory compliance efforts by maintaining accurate records and documentation.
  • Coordinate travel arrangements, meeting logistics, and departmental purchasing requests as needed.
  • Perform other administrative duties as assigned.
Qualifications
  • High school diploma or equivalent required;
    Associate's degree preferred.
  • Minimum 3 years of administrative support experience.
  • Experience supporting safety, construction, transportation, industrial, or related operations preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and accuracy.
Technical

Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience working with electronic document management systems.
  • Ability to generate reports and maintain databases and spreadsheets.
  • Familiarity with Power BI, Power Apps, or similar business systems is a plus.
