One day you may be welcoming members at an event, the next creating a social media post, coordinating with a speaker, or helping prepare for a board meeting.
This position supports the day-to-day operations of the association, with a focus on events, member services, communications, and administrative coordination. The ideal candidate is organized, dependable, friendly, and comfortable juggling multiple priorities. They enjoy being part of a team, take pride in creating a positive experience for others, and are willing to jump in wherever needed.

Key Duties and Responsibilities Member Services- Serve as a welcoming and responsive first point of contact for members, prospective members, and community partners.
- Respond to questions by phone and email in a timely, professional, and friendly manner.
- Assist with new-member onboarding, membership renewals, and member record updates.
- Maintain accurate membership information within the association database.
- Help members navigate association programs, events, education, and available resources.
- Support member engagement and retention efforts, including outreach to new, renewing, and inactive members.
- Assist with planning and executing luncheons, networking events, educational programs, certification courses, fundraisers, and other association activities.
- Coordinate event details such as registration, venues, catering, speakers, sponsors, vendors, signage, supplies, and printed materials.
- Manage attendee registration, guest lists, name badges, attendance records, and onsite check-in.
- Communicate with venues, speakers, sponsors, and vendors before and after events.
- Provide hands‑on support during events, including setup, registration, troubleshooting, and cleanup.
- Help ensure each event is organized, welcoming, and enjoyable for attendees.
- Draft and distribute member emails, newsletters, event promotions, reminders, and general updates.
- Assist with social media content creation, scheduling, and engagement.
- Create or update promotional materials, event signage, presentations, and other communications.
- Maintain association calendars and help ensure information is accurate and distributed on time.
- Track communication performance and help identify opportunities to improve member outreach.
- Provide day-to-day administrative support to the Executive Director and association staff.
- Coordinate meetings, schedules, and appointments as needed.
- Prepare meeting materials, agendas, reports, and presentations.
- Attend designated meetings, take accurate minutes, and track follow-up items.
- Maintain organized digital and physical records.
- Manage general correspondence and help keep office projects moving forward.
- Assist the Executive Director with special projects and strategic initiatives.
- Track membership dues, event registrations, sponsor ships, and other payments.
- Follow up on outstanding payments when requested.
- Track event‑related income and expenses.
- Assist with expense documentation.
- Maintain accurate financial records and follow established internal procedures.
- Coordinate with board members, committee leaders, volunteers, sponsors, and industry partners.
- Schedule committee meetings and provide necessary materials and administrative support.
- Help committee leaders track projects, deadlines, and action items.
- Support volunteer‑led initiatives while providing a consistent and professional association experience.
- Build positive working relationships with the many people who contribute to the organization’s success.
