Description

Provides support to the nine member Board of Regents of the University of Houston System and the annually appointed studentregent in the exercise of their duties. Manages the Board of Regents (BoR) support office and reports directly to the Board of Regents Office Assistant Director.

  • 1. Manages BoR office schedule logistics to include working with various administration throughout campus to coordinate VP, Regentand Committee schedules.
  • 2. Manages the Board calendar, Board planner, and working with various administrative units for Board meeting preparation, travel arrangements and communications with Board members
  • 3. Coordinates the logistics and agenda material for boardmeetings.
  • 4. Disperses notarized board approvals to appropriate contacts oncampus for construction and other various projects.
  • 5. Manages reconciliation of budgets and financial accounts,reviews for any discrepancies, processes payments of invoices,travel expenses and all payments related to various meetings.
  • 6. Assists Board Office with coordinating schedules with Executives, Board and Committee members.
  • 7. Manages event contracts and maintains budgets andfinancials.
  • 8. Coordinates and participates in special projects for the Board Office, including contract and procurement requirements.
  • 9. Serves as primary liaison with other university departments and offices for meetings and events involving the Regents.
  • 10. Ensures accuracy and timeliness of guest lists, invitations,programs and other printed event materials.
  • 11. Drafts correspondence, memoranda, and other writtendocumentation on behalf of the Board as needed.
  • 12. Maintains and enhances the Board's website with archival andevent information, including collecting photos from UH/UHS eventsfor archival and distribution.
  • 13. Maintains former regent communications by collaborating with applicable campus partners.
  • 14. Responds to all requests from the Office of the Board Chairperson and Chancellor.
  • 15. Serves as Board minutes manager to include but not limited tocompiling Board minutes and dispersing to various committee members for review/clarification, publishing official board meetings withthe Secretary of State consistent with the Open Meetings Act, aswell as managing the Legacy process to compile and bind minutebooks.
  • 16. Coordinates the logistics and agenda material for boardmeetings. Prepares the scripts for board meetings and boardcommittee meetings and works with the administration to set theagenda for the executive sessions of the board.
  • 17. Coordinates strategic planning retreats for members of the Board, executive administrators and guests
  • 18. Performs other job-related duties as assigned.

    Education:

    Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a collegeor university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.

    Experience:

    Requires a minimum of two (2) years of directly job-related experience. Preferred:
    Three (3) years of direct experience. Certification/Licensing:
    None.
