DescriptionThe Office Manager oversees the daily administrative operations of the office and leads a team of administrative staff to ensure an organized, efficient, and professional work environment. This role is responsible for supervising office personnel, managing facility operations, coordinating vendor relationships, and supporting leadership with administrative functions. The Office Manager plays a key role in maintaining operational excellence, fostering collaboration, and upholding company standards for communication, service, and organization.
Essential Duties and Responsibilities- Supervise and lead a team of administrative employees, including receptionists, office assistants, and facility coordinators.
- Oversee daily office operations to ensure a productive, professional, and safe work environment.
- Manage administrative workflows, delegate tasks, and monitor performance to ensure quality and timeliness.
- Develop and implement office policies, procedures, and standards to improve operational efficiency.
- Coordinate facility management, including maintenance requests, vendor contracts, and service schedules.
- Manage office supply inventory, purchasing, and cost controls.
- Oversee mail, shipping, and courier services, ensuring timely distribution and delivery.
- Assist leadership with scheduling, correspondence, meeting preparation, and event coordination.
- Prepare reports, communications, and documentation for internal and external use.
- Support employee onboarding processes, workstation setups, and office orientation in collaboration with HR.
- Track and reconcile office expenses; assist with budgeting and financial reporting.
- Serve as the primary point of contact for office-related inquiries, ensuring responsive and professional communication.
- Promote a positive office culture through engagement, collaboration, and team development initiatives.
- Ensure confidentiality and compliance with company policies and standards.
Work Experience
- Minimum of 3 to 5 years of experience in administrative or office management roles.
- Proven track record of managing teams and coordinating office operations in a corporate or professional environment.
- Experience in vendor management, facility coordination, and budget administration preferred.
- Strong leadership and team-building abilities with effective delegation and follow-up skills.
- Excellent organization, time management, and multitasking capabilities.
- Clear and professional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and business management tools.
- Strong problem-solving and decision-making skills.
- High level of professionalism, discretion, and integrity.
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Equivalent work experience may be considered in lieu of a degree.
- In-depth understanding of office administration, team supervision, and facility management.
- Knowledge of budgeting, purchasing, and vendor relationship management.
- Familiarity with HR processes, including onboarding, performance feedback, and employee engagement.
- Understanding of corporate policies, compliance standards, and confidentiality protocols.
- Awareness of safety procedures and workplace regulations.
- Dependable and proactive, with strong attention to detail.
- Professional, approachable, and collaborative leadership style.
- Adaptable and calm under pressure with strong conflict-resolution skills.
- Self-motivated and driven to maintain a positive, efficient workplace.
- Bilingual (English/Spanish) preferred.
