SUMMARY:
The Executive Assistant serves as a strategic administrative partner and resource to the Chief Executive Officer, providing high-level executive, organizational, and operational support while exercising independent judgment and leadership oversight of administrative staff supporting executive operations. This position requires a high degree of professionalism, discretion, confidentiality, sound judgment, and attention to detail. The Executive Assistant manages and coordinates the CEO’s schedule, internal and external meetings, Board-related activities, correspondence, and special projects.
The position also facilitates communication and maintains professional relationships with Board members, executive leadership, employees, community partners, and other external stakeholders. By proactively managing and directing administrative responsibilities, executive priorities, and follow-up activities, the Executive Assistant supports the CEO in effectively carrying out the strategic and operational responsibilities of the organization.
- Bachelor’s degree in Business Administration, Healthcare Administration, Communications, or a related field preferred. Equivalent combination of education and relevant experience may be considered.
- Minimum of 5 years of progressively responsible administrative experience, with demonstrated experience supporting senior executives or C-suite leadership strongly preferred.
- Previous experience supporting a CEO, executive leadership team, and/or Board of Directors preferred.
- Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to prepare professional correspondence, reports, spreadsheets, presentations, and meeting materials.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities, competing deadlines, and changing demands in a fast-paced executive environment.
- Excellent written and verbal communication skills, including strong grammar, proofreading, business writing, and professional correspondence skills.
- Strong interpersonal skills and the ability to communicate professionally and effectively with Board members, senior leadership, employees, community partners, donors, vendors, and other external stakeholders.
- Demonstrated ability to exercise sound judgment, discretion, diplomacy, and professionalism, particularly when handling sensitive or confidential information.
- Ability to anticipate executive needs, identify priorities, independently resolve routine issues, and determine when matters require escalation to the CEO.
- Ability to work independently with minimal supervision while maintaining effective collaboration with executive leadership and other departments.
- Ability to maintain composure, professionalism, and flexibility when priorities change or when responding to time-sensitive matters.
- Dependable and responsive, with the flexibility to occasionally support meetings, Board activities, or organizational events outside of regular business hours as needed.
