The Administrative Assistant is a contract, on-site role based in Houston, TX, supporting the daily operations of Americana Injury Clinic. This position manages front-desk activities, including greeting patients, answering phone calls, scheduling appointments, and handling check-in and check-out processes. The Administrative Assistant maintains and updates patient records, processes forms and documentation related to personal and work injuries, and coordinates with clinical staff to ensure accurate information flow.
Additional responsibilities include basic clerical tasks such as filing, scanning, data entry, and managing office supplies, as well as assisting with correspondence and follow-up communications with patients and partners. This role requires consistent professionalism, attention to detail, and the ability to work in a fast-paced clinical environment while maintaining patient confidentiality.
- Strong Administrative Assistance and Clerical Skills, including scheduling, data entry, filing, and record maintenance
- Professional Phone Etiquette and clear Communication skills for interacting with patients, clinical staff, and external partners
- Experience providing Executive Administrative Assistance or office support in a healthcare or clinic setting is beneficial
- Ability to handle sensitive information with discretion and maintain patient confidentiality (HIPAA awareness preferred)
- Proficiency with basic office software (e.g., email, word processing, spreadsheets) and practice management systems is an advantage
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and priorities
- Customer service mindset with a calm, empathetic approach to patients who may be in pain or distress
- High school diploma or equivalent required; additional training or certification in medical office administration is a plus
