We are seeking a Tour Coordinator Administrative Assistant to provide administrative and logistical support to the Tour Coordination department. This position assists with the coordination of student tours, travel arrangements, documentation, and other day-to-day departmental tasks.
About the Role:As a Tour Coordinator Assistant, you'll play a key role in supporting our Tour Coordinators by managing day-to-day logistics, communications, and documentation that help student trips run smoothly. This is a full-time, in-office position (Spring Branch area of Houston, TX) for someone who thrives in a fast-paced, team-oriented environment.

Administrative Support
- Provide administrative support to Tour Coordinators and assist with day-to-day departmental tasks
- Answer phone calls and respond to inquiries regarding travel itineraries, reservations, and logistics
- Prepare, format, and distribute flyers, itineraries, spreadsheets, confirmations, and other client materials
- Proofread appointments, confirmations, and travel documents to ensure accuracy and consistency with itineraries
- Prepare and process outgoing mail, client correspondence, and other documents
Travel Coordination Support
- Assist with booking attractions, activities, and other travel arrangements and confirming reservations
- Review contracts, payments, confirmations, and vendor documentation for accuracy
- Purchase tickets, event passes, and other travel-related items online
- Assist with preparing final travel packets and materials for clients
- Provide administrative and logistical support for student tours and events, including occasional on-site assistance
Required:
- 4-5 years in an administrative, customer service, or office support role
- Strong organizational skills and attention to detail
- Ability to multi-task and organize work
- Experience with Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Professional, dependable, and adaptable
Preferred:
- Bachelor's degree in Business, Education, Communications, Hospitality, or related field
- Experience in travel, tourism, hospitality, or education
- Familiarity with CRM or internal database systems

Approximately $50,000 annually, depending on experience and qualifications
