Bonds Administrative Assistant (BH-20507)

Location Houston, United States Sector Admin & Secretarial Salary 60,000.00 US to 70,000.00 US per annum

The HT Group is partnering with a reputable law firm to hire a detail-oriented Administrative Assistant to support the bonds team with the preparation and management of bond transcripts and related legal documentation. The team handles 200+ transactions annually, making this a high-volume, deadline-driven role where accuracy and organization are critical. This is an excellent opportunity for someone who enjoys detail-oriented administrative work, is comfortable managing large volumes of documents, and can work independently while knowing when to ask questions.

No prior law firm experience is required.

Compensation: $60K–$70K base

What You’ll Do
  • Prepare, assemble, and manage bond transcripts and supporting legal documents with a high degree of accuracy
  • Review and proofread materials for accuracy, consistency, completeness, and formatting
  • Manage a high volume of documents and transactions while meeting strict deadlines
  • Coordinate distribution of finalized documents and draft transmittal correspondence
  • Manage multiple projects simultaneously and track outstanding items and deadlines
  • Partner with internal teams and external consultants to gather information and resolve missing items
  • Support contract review processes, including monitoring requests and tracking updates
  • Assist with board meeting logistics, including scheduling and preparation of materials
  • Maintain organized records using document management and file-sharing systems
  • Update client and transaction information as needed
Qualifications
  • Bachelor’s degree required
  • 5+ years of professional administrative or support experience
  • Experience with legal, financial, transactional, or other highly detailed documentation preferred
  • Strong proficiency in Microsoft Word and Excel
  • Experience with Adobe Acrobat/PDFs and document management/file-sharing systems such as Net Documents or Dropbox
  • Excellent attention to detail, proofreading, and written communication skills
  • Comfortable working in a high-volume, repetitive, deadline-driven environment
  • Highly organized with strong time management and ability to manage multiple priorities
  • Able to work independently, use good judgment, and know when to ask questions
  • Professional, proactive, and dependable
  • Ability to handle sensitive information with discretion
  • No prior law firm experience required
