Brunel Energy is recruiting an Office Administrator to work with a major oil and gas company on a 6-9 months contract in Houston, TX.
Responsibilities:- Perform general administrative office duties, including electronic filing, organizing, binding, routine reports, and other administrative responsibilities as requested.
- Manage meeting setup forms in Outlook as well as meeting room maintenance.
- Schedule and coordinate meetings/appointments, including determination of special equipment needs and room accommodations.
- Answer and direct telephone calls, deliver messages, schedule conference calls, and distribute incoming mail.
- Greet visitors and employees while maintaining security by adhering to visitor guidelines.
- Submit and process gym waivers for employees, ensuring all documentation is accurately recorded and stored.
- Monitor and manage tickets related to SPL and CCL through the Office Services ticketing system, assigning tickets to the appropriate team member for resolution as needed.
- Assist with onboarding new parkers, including account setup and documentation.
- Assist with employee event planning and setup, as well as day-to-day building operations.
- Update calendars to reflect meeting setups and assist with finding and scheduling conference rooms as requested.
- Submit dock requests for vendors to building management and coordinate related building services.
- Distribute office supplies and mail to company personnel and/or designated drop-off points as required.
- Perform furniture and conference room setup and maintain copy rooms by keeping them neat and well stocked.
- Answer customer questions regarding the status or feasibility of job requests.]
- High school diploma or equivalent; bachelor’s degree preferred.
- 3+ years of related work experience required.
- Intermediate to advanced knowledge of MS Office (Word, Excel, Outlook).
- Working knowledge of Adobe Illustrator preferred.
- Working knowledge of facilities management or office administration.
- Detail oriented with effective time management and organizational skills.
- Excellent verbal and written communication skills.
- Ability to learn new software and applications.
