The OpportunityThe Receptionist provides friendly, professional customer service to employees, clients, and visitors while serving as the primary point of contact for the firm. Responsibilities include answering phones, greeting visitors, coordinating meeting room reservations, supporting meetings and office events, and performing general administrative duties as needed.
The Day-To-DayOn any given day, you will:
- Greet visitors entering and leaving the office.
- Answer multi-line phone system and forward calls to appropriate individuals.
- Manage conference room schedule and coordinate lunch for client and practice group meetings, as well as assist with catering for office events.
- Confirm reservations through Event Management System.
- Maintain office security by ensuring visitors have appointments with attorneys.
- Assign offices to Seyfarth visiting attorneys and staff; track visitor security badges; circulate notice of visitors to office personnel.
- Assist in helping Office Administrator, HR Management, and other departments as needed.
- Validate and maintain monthly parking log.
- Keep reception area neat and orderly at all times.
- Perform daily office opening and closing duties.
- Assist with administrative projects when necessary.
- A minimum of 5 years’ experience working as a receptionist in an office environment. Previous law firm experience preferred.
- High School Diploma or Equivalent Experience
- Proficient skills in Microsoft programs (Word, Outlook, and Excel).
- Excellent attention to detail, organization, and communication skills.
- Exceptional problem solving, interpersonal and customer service skills.
- Punctuality and good attendance.
- Capability to speak clearly and distinctly.
