A fast-moving, established real estate organization operating in high-growth markets is entering a pivotal period of expansion and transformation. We are conducting a confidential search for an exceptional Executive Assistant to work directly with a highly driven and demanding Senior Leader. This is not a routine administrative position—it is a high-impact opportunity for someone who wants to operate at the center of the business, move at executive speed, and help turn ambitious priorities into results.

Key Responsibilities Executive & Administrative Support
  • Manage the Senior Executive’s complex calendar across teams, locations, and time zones.
  • Assess requests, resolve conflicts, and protect time for high-impact priorities.
  • Prepare agendas, briefings, and decision-ready materials; track commitments and follow-up.
  • Serve as a liaison to senior leaders, employees, key stakeholders, and external partners.
  • Triage and draft executive communications; determine urgency and escalation needs.
  • Protect confidential strategic, financial, personnel, organizational, and personal information.
Travel & Logistics Management
  • Coordinate complex domestic and international travel, itineraries, and contingency plans.
  • Manage travel rewards and ensure compliance with corporate policies.
  • Anticipate and resolve travel disruptions calmly and decisively.
Strategic Operations & Coordination
  • Coordinate leadership priorities, stakeholder requests, and cross-functional work streams.
  • Track milestones, decisions, risks, and dependencies; elevate issues and drive completion.
  • Support leadership meetings, operating reviews, stakeholder updates, town halls, and off-sites.
  • Anticipate obstacles and recommend solutions that improve decisions, productivity, and effectiveness.
  • Lead special assignments with minimal direction, coordinating stakeholders and tracking results.
Finance & Budget Support
  • Reconcile corporate card expenses and code invoices for payment.
  • Monitor departmental budgets and support leadership and stakeholder reporting.
  • Coordinate vendor agreements and procurement.
  • Use Microsoft 365 to create efficient, transparent executive workflows.
  • Develop polished presentations, operating updates, trackers, and stakeholder communications.
  • Adopt tools and processes that improve collaboration, reporting, and execution.
Personal Assistance (as needed)
  • Coordinate personal appointments and occasional errands.
  • Manage mail, packages, and related personal tasks.
Qualifications
  • 5+ years supporting a senior executive in a fast-paced, complex organization.
  • Experience with an acquisition, organizational transition, or major business transformation preferred.
  • Strong executive presence, sound judgment, and the confidence to support a demanding, high-performing Senior Leader.
  • Excellent written and verbal communication skills; ability to build trust at all levels.
  • Ability to influence without authority, drive accountability, and follow through across functions.
  • Advanced Microsoft 365 skills and experience creating polished presentations, reports, and trackers.
  • Exceptional organization, stamina, discretion, and composure when priorities change and deadlines are tight.
  • Resourceful, solutions-oriented self-starter who welcomes direct feedback, embraces hard work, and takes full ownership from problem through completion.
  • Available on-site Monday–Friday, with occasional after-hours support and travel.
