Key Responsibilities- Assign and oversee the work of the regional administrative support team staff.
- Develop tools to track work assignments, ensure they are completed within established time frames, and provide regular and ad‑hoc reports to management on status.
- Plan, prepare, and approve employee work schedules, review and approve leave requests, and perform performance management requirements.
- Oversee and coordinate regional records to ensure appropriate records are maintained and purged for business operations; assist with technical programs for programmatic records (electronic and hard copy).
- Oversee and assist the coordination of personnel related data management.
- Oversee the collection of information in response to Public Information Requests (PIRs), ensuring all PIRs meet request standards and deadlines.
- Monitor retention schedules and coordinate the destruction of files that have reached the end of their retention schedule.
- Ensure compliance with policies, procedures, and guidance; take corrective action as needed; develop administrative policies, procedures, and guidance.
- Provide guidance on applicability of policies, procedures, rules, regulations, and standards related to administrative functions (travel, purchasing, timekeeping, public information requests, multi‑line phone system, incoming/outgoing mail).
- Assist in oversight of the regional budget and purchasing; review budget reports and reconciliations; assist with development of projections and annual budget requests; provide regular and ad‑hoc reports to management on budget and purchasing status.
- Oversee fleet and building management operations, buildouts, and coordinate with Texas Facilities Commission on building issues.
- Track and monitor the region’s inventory (capital and non‑capital assets); prepare reports on status and location; prepare purchase requests; coordinate surplus or disposal of inventory and equipment.
- Experience handling/processing public information act requests and government procurement procedures.
- Experience interpreting rules, regulations, policies, and/or procedures.
- 2–3 years of experience actively implementing budget development and tracking.
- 1 year or more experience with office management activities such as asset management, building management, and creation of office procedures.
- Experience in the administration of a program relevant to assignment, OR
- Graduation from an accredited four‑year college or university with major coursework relevant to assignment.
Standard business hours M–F, 8:00 a.m. – 5:00 p.m. Individual and work group schedule determined by the TCEQ Houston Region Office.
