Hunton Trane a division of Hunton Group is seeking a detail-oriented Bid Coordinator to support our HVAC sales team by managing the bid process from initial document intake through tracking and follow-up. This role is responsible for organizing bid documentation, maintaining accurate records, and ensuring deadlines are met in a fast-paced, deadline-driven environment, while offering opportunities for continued learning and career development within the HVAC industry.

Key Responsibilities
  • Review bid invitations, plans, and specifications to identify scope, requirements, and deadlines
  • Manage and distribute bid documents, including plans, specifications, addenda, and revisions
  • Organize and maintain bid files to ensure access to current and accurate information
  • Track bid activity, milestones, and outcomes within the CRM system
  • Maintain organized and up-to-date records
  • Communicate effectively with general contractors, mechanical subcontractors, consulting engineers, Estimating Team, Industrial Team, and Commercial Sales Team
  • Support internal coordination to ensure timely responses to bid-related requests
  • Engage in ongoing professional development through participation in internal team meetings and vendor sessions to stay current on product offerings, industry trends, and market developments
  • Assist in improving bid processes, templates, and tracking methods
Qualifications
  • 2+ years of experience in bid coordination, sales support, or related role preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook required)
  • Experience with CRM systems
  • Familiarity with construction documents, including plans, specifications, and addenda
  • Familiarity with HVAC equipment schedules and technical documentation
  • Strong organizational skills and ability to manage multiple deadlines
  • High attention to detail and strong communication skills
