Event Manager / Planner
Position Overview
The Events Specialist plays a key role in the planning, coordination, and execution of high-impact events and initiatives for the Houston East End Chamber of Commerce. This is a fast-paced, high-energy position that requires exceptional organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.

The Events Specialist is responsible for planning and managing events of varying sizes and purposes, including, but not limited to, luncheons, half-day programs, golf tournaments and awards celebrations.
Responsibilities- Plan, organize, and execute a wide variety of Chamber programs and events, including:
- Signature events with 300+ attendees
- Annual Golf Tournament
- Annual Awards Celebration Gala
- Half-day seminars, networking events, and other special programs
- Develop and manage event timelines, budgets, and checklists to ensure all details are executed on time and within scope.
- Identify, schedule and liaise with speakers and special guests.
- Draft and edit professional correspondence and event materials with a focus on accuracy and clarity.
- Assist in managing sponsorship benefits and fulfillment.
- Plan event details and aspects, including seating, dining and guests.
- Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
- Manage RSVP tracking, attendee communication, and follow-ups.
- Participate in venue and vendor research, contract negotiation, budgeting, food and beverage management and audio-visual requirements.
- Oversee each phase of the event to ensure it runs smoothly.
- Serve as lead contact for the Engagement Committee, Awards Celebration Committee, and Golf Tournament Committee.
- Liaise with graphics and marketing coordinators to plan and execute event marketing strategy.
- Support day-of event logistics including setup, registration, and vendor coordination.
- Conduct final inspections on the day of the event to ensure everything adheres to the standards.
- Maintain program records and prepare post-event evaluations and reports.
- Other duties as assigned.
- Bachelor’s degree preferred, with 3+ years of experience in the areas of non-profit or civic- industry with a focus on event planning, business development, or program development. 5+ years of experience is also recognized in lieu of a Bachelor’s degree.
- Intermediate to Advanced knowledge of MS Office Suite. Good knowledge of MS Excel including advanced tools and formulas, complex tables and charts.
- Must have excellent verbal and written communication skills.
- Must have excellent interpersonal skills.
- Possess superior analytical skills and good reasoning and judgment skills are essential.
- Ability to manage multiple projects, priorities, and deadlines.
