Position Overview

The Commercial Proposal Manager is responsible for supporting the commercial operations and service sales teams by developing accurate technical and commercial quotations, preparing contract documentation, and coordinating proposal activities from customer request through purchase order receipt. This role serves as a key liaison between cross‑functional teams and external customers, ensuring the delivery of timely, accurate, and commercially sound proposals.

Responsibilities
  • Review customer requests, RFQs, and service opportunities to determine technical and commercial requirements and develop accurate, timely proposals for spare parts, labor, maintenance services, and service‑related projects
  • Prepare complete proposal packages including pricing, specifications, commercial terms, supporting documentation, and project‑specific calculations in accordance with company pricing guidelines, approval requirements, and commercial policies
  • Coordinate quotation and proposal activities from initial customer request through purchase order receipt, ensuring a smooth transition to execution
  • Support the preparation, review, administration, and negotiation of service contracts, commercial agreements, and long‑term customer contracts while identifying contract risks, exceptions, and approval requirements
  • Ensure compliance with Division of Authority (DoA), internal approval workflows, risk management processes, and company commercial standards
  • Collaborate with cross‑functional teams to gather technical, financial, operational, supply chain, and legal information necessary for proposal development, contract review, and risk mitigation
  • Coordinate with technical resources to define project scope, labor requirements, parts requirements, field service needs, and execution plans to ensure proposal accuracy
  • Provide timely and professional support for customer inquiries, meetings, and occasional site visits while helping strengthen customer relationships and identify business opportunities
  • Maintain organized quotation, contract, and project documentation records and support the administration of commercial files
  • Assist with continuous improvement initiatives focused on quotation accuracy, process efficiency, customer responsiveness, cycle time reduction, and best practices for proposal development and commercial operations
  • Provide guidance and support regarding proposal processes, pricing tools, commercial requirements, and related training initiatives
  • Performs other duties as assigned to assist with successful operations and business continuity
Requirements
  • Bachelor's degree in Business, Engineering, Finance, or a related discipline preferred; or equivalent combination of education and relevant industry experience will be considered
  • Minimum 2+ years of experience in commercial operations, proposal management, contracts administration, service operations, aftermarket support, inside sales, quotations, or related functions
