Primary FunctionThe Proposal Coordinator supports the commercial operations and project development team by coordinating responses to Requests for Information (RFIs), Requests for Quotation (RFQs), Requests for Proposal (RFPs), and Statements of Qualification (SOQs), as well as client presentations that support the pursuit of new business. Working with minimal supervision, the Proposal Coordinator plans, develops, and assembles compliant, professional proposal packages and serves as a resource for departmental proposal processes and standards.

Employee may be called upon to perform any orall ofthe following functions:
Learn and apply corporate standard sales and proposal processes and procedures.
Review solicitations toidentifysubmission requirements, evaluation criteria, and deadlines; develop compliance matrices and proposal schedules.
Coordinate end-to-end proposal development, including schedules, action items, and deadlines, gathering inputs from estimating, engineering, project management, legal, and executive contributors to assemble technical and commercial content.
Work closely with estimating and project staff to organize the layout, design, and delivery of RFP and RFQ responses.
Draft, edit, and proofread proposal content for clarity, accuracy, and consistency, including engineering bills of materials, pricing request forms, project schedules, and comments and clarifications.
Create proposal templates using Outlook, Word, Excel, and other applicable software.
Build andmaintainresumes, project sheets and case studies, reference lists, org charts, and other proposal templates in a searchable content library; tailor materials to each opportunity.
Comply with Dashiell standards to present a consistent appearance across all responses.
Coordinate multiple proposal efforts simultaneously across diverse markets and service offerings.
Ensure customer contact information and RFQ/RFP files aremaintainedand up to date.
Support proposal presentations by compiling content, building decks, and preparing speaker notes.
Maintainaccurateopportunity data, next actions, and win/loss metrics; generate pipeline and performance reports as requested.
Maintain secure, well-organized electronic files for all pursuits.
Contribute to continuous improvement and share best practices and lessons learned with peers.
Perform special projects and complete other duties as assigned or requested.
Help win new business by delivering compliant, professional, on-time proposal packages that clearly present Dashiell’s qualifications and value.
Keep proposal efforts on track by coordinating schedules, deadlines, and contributor inputs across estimating, engineering, project management, and legal.
Strengthen response quality and consistency bymaintaininga well-organized, current content library and applying corporate proposal standards.
Enable leadership to make informed pursuit decisions throughaccurateopportunity data, pipeline reporting, and win/loss tracking.
High school diploma or equivalent required.
Aptitude for managing multiple, concurrent proposals in a fast-paced, deadline-driven environment.
Ability to interpret RFP and RFQ instructions and evaluation criteria and to develop compliance matrices and schedules.
Strong writing, editing, and proofreading skills with excellent grammar, spelling, and punctuation.
Proficiency with Microsoft Office (Word styles, sections, and tables of contents; PowerPoint; Excel) and Adobe Acrobat (PDF assembly and bookmarking).
Good organizational skills, including development of work plans, version control, and the ability to multitask effectively.
Strong interpersonal skills with the ability to collaborate and communicate at all levels of the organization and with external partners.
Ability toidentifyproblems, propose solutions, and drive issues to resolution under tight deadlines.
