Synopsis

The Marketing Associate is responsible for completing Requests for Proposal (RFPs), Due Diligence Questionnaires (DDQs), and ad hoc client and prospect questionnaires — including response, editing, final review, production, and delivery. The Associate is also responsible for the population and maintenance of consultant and third-party databases, the maintenance of the firm’s RFP content database, and ensuring timely completion of marketing-related materials.

Beyond execution, the Associate is expected to help improve how this work gets done. The firm is actively adopting AI-enabled drafting and content-automation tools, and the Associate will take a hands-on role in establishing them by defining how they fit the existing workflow and refining them over time. The right candidate treats the content database and the response process as a product to be managed and improved, not simply a queue to be worked.

This staff position will report primarily to the Managing Director of Business Development.

Key Responsibilities
  • Write, edit, organize, and package responses to Requests for Proposal, Due Diligence Questionnaires, and ad hoc questionnaires in compliance with detailed client requirements and on stringent deadlines.
  • Manage RFPs, RFIs, and due diligence documents from inception to completion; coordinate with subject matter experts throughout the organization to write and edit content.
  • Efficiently manage multiple RFP assignments simultaneously, and manage internal deadlines for all parties involved in the process.
  • Ensure the on-time delivery of accurate, high-quality proposals to prospects and clients.
  • Curate and manage a large body of RFP/RFI responses in the firm’s content database, keeping answers current, consistent, and compliance-approved.
  • Populate and maintain consultant and third-party databases accurately and on their required reporting cycles.
  • Help establish the firm’s use of AI-assisted drafting and content-automation tools: participate in evaluation and pilots, define how each tool fits the existing workflow, build and refine prompts, templates, and content structure, and document what works.
  • Apply product management discipline to the response process: gather requirements from stakeholders, prioritize improvements by impact, maintain a backlog of enhancements, and measure results against clear metrics such as turnaround time, content reuse rate, and first-pass accuracy.
  • Identify recurring points of friction in the process and propose practical solutions rather than working around them.
Qualifications
  • Education. Bachelor’s degree or above in Business, Marketing, Finance, or a related field.
  • Communication. Excellent written, verbal, and interpersonal communication skills, with the ability to translate technical investment content into clear, persuasive, client-ready language and to communicate status, risks, and trade-offs proactively to colleagues at every level of the firm.
  • Problem solving before escalation. Works an issue independently. Researches, tests reasonable options, and consults available resources and arrives at escalation with the problem clearly framed, the attempts already made documented, and a recommended path forward.
  • Product management aptitude. Comfort defining requirements, prioritizing competing demands, sequencing work, and improving a system or process over time. Prior ownership of a tool, database, or recurring workflow is a strong plus.
  • AI and technology fluency. Demonstrated interest and aptitude with AI tools, including LLM-based drafting assistants and content-automation platforms, and a willingness to learn proprietary systems, applications, and tools that aid in the completion of questionnaires.
  • Technical proficiency. Proficiency in Microsoft Word, Excel, and PowerPoint preferred. Experience with Photoshop, or with RFP and content-automation platforms, a plus.
  • Industry knowledge. Existing knowledge of and interest in the asset management industry, with familiarity with industry terminology.
  • Attention to detail. Self-starter with a strong work ethic and attention to detail, able to present information and materials in a professional manner following stated design templates and guidelines. Analytical mindset with extreme diligence and accuracy.
  • Working style. Ability to work well both independently and as a team member; ability to manage time and projects independently and manage a heavy workload during peak periods.
  • Drive. Self-motivated and driven, with the ability to excel in a fast-paced, team-oriented corporate environment.
